Terms & Conditions

1. Your Booking

By booking a room at The Southbank Townhouse, you are agreeing that you and all members of your party agree to and are bound by the Terms & Conditions detailed below. Your reservation is made with TheSouthbank Townhouse and represents a legally binding contract between you and The Southbank Townhouse.

Please note that we will only except guests who have a valid visa or credit card and have a permanent address. Please include full address, postcode and contact number at time of booking.

If you have made your booking via a third-party website (eg Booking.com), your contract of booking is with us and not them. The terms and conditions of Southbank Townhouse will take precedence and you are bound by these automatically. Should you not wish to be bound by these Terms & Conditions, you have a four-hour window in which to cancel your booking free of charge without any penalty. Please note, the cheapest deal will always be found on our own website not via a third-party booking website.

You will receive an email confirmation of your booking. Please check this carefully – it is your responsibility to contact us immediately if any details are incorrect. We are not responsible for any details you have omitted to tell us and not bound to keep your booking if we feel our property is not suitable for you (eg you arrive with a dog, or a child, wanting a twin room or can't manage the stairs).

2. Prices

We operate a fluid pricing system which means our room prices are and can, vary according to demand. All prices are correct and subject to availability at the time of booking. Prices may change at any time without prior warning or notice but cannot be amended once booked. Please note that the best price is ALWAYS available via our own website.

2.1 Rates

The rates quoted are for the specific number of guests, based on 2 persons sharing or one person in the case of our single room. Our prices include breakfast- if you do not require breakfast discuss this with us at time of booking.Only in exceptional circumstance will an additional put you up bed be placed in your room, this is subject to type of room and at our discretion.

3.Payments:

3.1 Card Types

We accept Visa & Master card. We do not accept American Express.

By entering this contract, you are authorising us to make these charges without additional consent being required.

3.2 Deposits and card details

We do not require a deposit as we accept payment on arrival. (with the exception of Christmas bookings or large group bookings)

However, you will be asked for your credit/debit card details to secure your booking even if you are paying by cash on arrival.

Should we find the card details are incorrect or incomplete, you will be notified and given 24 hours to revise details. Failure to update successful details will result in your booking being cancelled.

We reserve the right to charge your card as detailed in our cancellation policy.

3.3 Refunds

No refund will be given for temporary absence, meals booked and not taken, or early departure. This also applies if you are asked to leave due to miss conduct.

3.4 Same day booking

For guests who arrive and book in person for the same day, full payment will be taken up front. If paying in cash, a pre-authorisation will still be taken on a credit card and additional ID may be required and a copy held on file.

4. Cancellation policy

Cancellations must be received 14 days prior to arrival to prevent a cancellation fee, the cost of one night stay will be taken from the credit/debit card details that were supplied at time of booking. Cancellation less than 48 hours will be charged at full value.

We reserve the right to charge your card as detailed in our cancellation policy.In the event of a no-show, full payment of the cost of the booking will be taken regardless of the reason and will be treated as a late cancellation with the full booking value being charged, – you will be advised to claim against your travel insurance.

3-5pm is classed as check in time for the purposes of cancellations.

We reserve the right to cancel or amend a booking in the event of circumstances beyond our control and provide an alternative of an equal value or a full refund of any monies paid.

Should you need to curtail your stay and leave earlier than planned, the total value of your entire stay will still be due.

5. Changing your Booking

Should you request to change the dates of your booking, this will be subject to availability and may be subject to a higher room price. For changes to dates within the 14-day cancellation period full charge will be made to secure alternative dates.

6. Check-In and Departure Time

We would like to make you aware that we do not have a 24-hour manned reception and our normal check-in times are between 15:00 and 17:00 every day. It may be possible to check-in earlier if your room is ready, but we cannot guarantee this.

When possible, we may check you in, put your bags in your room, give you the keys and invite you to visit the town while you wait and then return whenever you want after 15:00.

If your arrival time is expected to be later than 18:00 we will require you to agree this in advance with us to make alternative arrangements.

We do have a security key box option which may be offered for out of hours check in. This will be confirmed via text if required.

7. Damage

By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid to the provider upon demand. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions. Any issue caused by you, whether accidental or on purpose which restricts our ability to re-sell your bedroom on future dates will be liable to compensation to be paid to us.

7.1 Damage/ Missing items

We reserve the right to charge for the replacement, cleaning or repair of any item(s) belonging to The Southbank Townhouse, or the fabric of the house itself, damaged either wilfully or because reasonable precautions have not been taken. In this event your credit card will charged without prior consent being required for the costs incurred. If we are unable to re-sell a bedroom due to damage, you may be liable for the costs associated to this.

We reserve the right to charge your credit or debit card for any damage caused to your room during your stay or for any items found to be missing when you leave.

8. Car Parking

There is limited parking availability based on a first come first served basis and cannot be pre-booked this may require some double parking by residents, so we please ask you to be considerate to other guests and where possible leave your keys for our safe keeping. Alternatively, there is roadside parking and neighbouring hotel parking for a small fee.

Please note vehicles and contents are left in car park are entirely at owners’ risk. Southbank Townhouse do not accept responsibility for any loss or damage to vehicles or their contents.

9. Visitors

For fire regulations, only guests booked into the Southbank Townhouse and registered via our digital registration form will be able to stay overnight. Your guest's can join you on the Terrace but must vacate the premises by 10pm. This is reflected in the fire and safety regulations.

9.1 Large groups/ Parties

Large parties or party groups are not accepted without prior arrangement. We have the right to refuse your booking on arrival and you still will be charged for the rooms booked.

9.2 Children

Children over the age of 12 are welcome at Southbank Townhouse, however, they must be able to sleep safely in an adult bed. Our maximum occupancy per room is for two persons. We do not provide travel cots or highchairs and we are unable to accommodate guest's own equipment.

9.3. Pets

We do not accept pets. In the case of assistance dogs, these cannot be left in a room unattended at any time.

9.4. Medical Conditions

If you or any member of your party has a medical condition, allergy or disability which may affect your stay, please call us to advise us so that we can make provision for the need(s) of the person(s) concerned or advise you if we are unable to make reasonable adjustment. Please inform us in advance any dietary needs.

If you do not advise us at time of booking of your requirements, we cannot guarantee to be able to meet your needs.

9.5. Group bookings

Should you wish to take exclusive use of The Southbank Townhouse with all bedrooms to celebrate a special occasion, we are happy to cater for you. Please contact us to discuss your requirements. A non-refundable deposit of 20% will be required for sole use of the Southbank Townhouse on booking, subject to availability, with the remaining balance to be paid seven days prior to the event.

10. Smoking

We do not allow smoking in the building including E-cigarettes, vaping and CBD or related products. The sensitive smoke alarm will pick up any cigarette smoke and set the alarm off. Anyone found smoking in the building will be subject to a fine of £100.00 towards the cost of deep cleaning of the room/area and may be asked to leave and no refund will be given back. This also applies should be find after your departure, smoking/vaping CBD or related products have been used in your room. Smokers are welcome to use the terrace where an ashtray is provided.

10.1. Consumption of Food & Drink

We politely and respectfully request that hot meals/take away are not consumed in any guest bedrooms. Should you wish to bring along a takeaway we are happy for you to consume these in the dining room or library where we can provide plates and cutlery. We reserve the right to charge your credit/debit card for any damage or additional cleaning required.

10.2. Meals

Evening meals are not available at The Southbank Townhouse, apart from breakfast, no other meals or snacks are available without prior arrangement.

10.2. Alcohol/Drinks

Due to our licensing requirements, we politely request you do not consume your own alcoholic drinks in public areas, the terrace or dining room, during our bar opening times as this may incur a corkage charge. We are happy to sell you alcoholic beverages via our bar and you are welcome to consume your own drinks in the privacy of your bedroom for which we can supply glasses and bottle opener upon request. Your designated licence is Dolores Driscoll. We The Southbank Townhouse, have the right to refuse the serving of alcoholic beverages to persons under 18 years, intoxicated or causing a nuisance.

10.3. Noise & Disturbance

Please show consideration for other Guests when using your Mobile Phone, PCs, TV’s, or Radios etc either very early in the morning or late at night. We respectfully request that all guests keep noise to a minimum when returning late.

Should you create excessive noise or a disturbance to us, other guests or the public outside, we have the right to ask you to leave and no refund will be made.

11. Fire Alarm Test & Safety

Our alarm is tested on Monday mornings at 11.30am, under normal circumstances, outside this time, please evacuate the building as per our procedure. On the sound of alarm please evacuate your room immediately, do not wait to collect belongings and wait for directions to return to room. As a fire safety precaution Please do not leave plugged in appliances on the bed.

In the event of a fire please make your way to the carpark via room 3 stairwayor to thefront of building via front door or dining room door.

12. Insurance

It is your responsibility to ensure that any travel insurance cover you have provides adequate cover for your needs and for the duration of your stay. If you cancel your booking within 14 days of our cancellation period, you will be asked to contact your insurance provider so please ensure you have some in place.

13.1. Security

Our Hall entrance door is the main security door to the building and should remain shut at all times. Should you need to use the door stop to carry bags ect, for the protection of guests and property, please remove this after use.

13. Lost Keys

On check in, you will be issued with a key fob with two keys. One will give access to your bedroom the other operates both front doors. It is your responsibility to always ensure the safe keeping of your key ring and return it at the end of your stay on check out. Failure to do so or loss of key fob will be subject to a minimum lost key charge of £100.

14. Lost Property

Any lost property items will be held for 30 days, after this we will dispose of any unclaimed items accordingly. Should you wish an item to be returned to you, a minimum charge of £10 will be charged to cover postage, packing and administration (usually payable by BACS). It is your responsibility to contact us should you think you may have left an item behind. Items sent will be by the cheapest method available. Should you require a particular courier or insurance level, please advise us. We hold no responsibility for the loss or damage of your item whilst in transit.

15. Circumstances Beyond Our Control

We cannot accept responsibility for unforeseen circumstances beyond our control. These include (but are not limited to) adverse weather conditions, fire, riot, war, pandemic, terrorist activity (or threat of such activity), industrial dispute, natural disaster, or injuries and death of an individual(s) or through accidental circumstances unconnected with The Southbank Townhouse.

16.Privacy Policy

Seven days prior to your arrival you will be required to complete our digital registration form. This is a legal requirement. This information is securely stored via our diary channel and is kept for 5 years and then is automatically removed. Dolores Driscoll (owner) is the principal Data Protection Officer.

We will only use the personal details given to us to deliver the information you require. This privacy policy covers website documentation stored by us such as registration forms and card details.

17. Covid-19 Policy

As a business we actively follow Government guidelines regarding Covid 19. If there are no Government enforced restrictions at the time of notification of cancellation, our regular cancellation policy applies.

Should the Government implement any restrictions to travel or result in a The Southbank Townhouse closure within your 14-day cancellation period we will continue to take payment and reschedule your stay for another date within a twelve-month period from the original check in date- subject to availability.
